THE ORGANISER CREATES AN EVENT Every booking starts with an event. The organiser creates an event on Gigevate and includes: Event date and location Performance expectations Proposed performance fee Additional event notes   This creates a clear foundation before approaching an artist.   STEP 2. THE ORGANISER SENDS A BOOKING REQUEST Once the event is created the organiser sends a booking request to an artist.   The request includes: Full event details Proposed terms Performance expectations   At this stage: Nothing is binding No payment is required The artist has full control over the response   STEP 3. THE ARTIST RESPONDS The artist can choose how to respond to the booking request.   Available options are: Accept the booking Decline the booking Negotiate the terms   Negotiation may include changes to: The performance fee Event details Expectations or requirements   This ensures both sides are aligned before moving forward.   STEP 4. TERMS ARE AGREED Once both parties agree on the final terms the booking becomes ready to be secured.   At this point: All details are confirmed No assumptions remain The agreement is clearly documented   This is the moment the booking becomes intentional and professional.   STEP 5. VAT AND INVOICING CLARITY BEFORE PAYMENT Before payment is made it is important that VAT and invoicing responsibilities are clear.   Organisers should: Confirm whether a VAT invoice is required for the performance fee Request the VAT invoice directly from the artist where applicable Ensure their own VAT details are correct   Important to know: VAT related to the performance fee is handled directly between the artist and organiser Gigevate does not create or manage performance fee invoices between parties Gigevate handles its own platform related charges separately   We are actively working on improving and simplifying VAT and invoicing flows to make this process even clearer in the future.   STEP 6. PAYMENT IS MADE AND HELD SAFELY After VAT and invoicing expectations are clear the organiser completes the payment through Gigevate. Once payment is made the funds are secured and held safely until after the performance takes place.   This means: The payment is made upfront The funds are not released immediately The payment cannot be withdrawn or redirected The artist knows the payment is reserved for them   Gigevate holds the payment to protect both parties throughout the booking process.   HOW PAYMENT PROTECTION WORKS When a payment is made through Gigevate it is handled with security fairness and transparency in mind. The payment is: Held securely by Gigevate until the performance is completed Linked directly to the confirmed booking and agreed terms Only released once the booking obligations are fulfilled   This creates a neutral protected environment where: Artists do not need to chase payments Organisers do not need to manage transfers manually Both parties know the money is safe   The funds are not accessible to either party until the booking is completed.   WHAT THIS MEANS FOR ARTISTS For artists payment protection means: You know the organiser has already paid You are not relying on promises or follow ups You can focus on performing without financial stress   Your payment is secured before you step on stage.   WHAT THIS MEANS FOR ORGANISERS For organisers payment protection means: Your booking is properly confirmed The artist commitment is secured There are no last minute payment issues   Payment security supports professional working relationships on both sides.   STEP 7. IN APP CHAT OPENS In app communication only becomes available after the terms are agreed and payment has been made.   This ensures: The booking is real Both parties are committed Communication stays relevant and professional   From this point artists and organisers can coordinate: Technical requirements Set times Arrival and soundcheck details Final logistics   All communication stays linked to the booking.   STEP 8. THE PERFORMANCE TAKES PLACE The artist performs at the event as agreed. Because payment is already secured both sides can focus fully on delivering a great experience without financial uncertainty.   STEP 9. PAYMENT IS RELEASED AFTER THE PERFORMANCE After the performance is completed the secured funds are released to the artist. ESCROW & PAYMENT POLICY Effective Date: 1 December 2025Gigevate B.V.   This Escrow & Payment Policy explains how payments, escrow, releases, disputes, cancellations and refunds work on the Gigevate platform in connection with Trustap’s secure transaction technology. It is incorporated by reference into the Gigevate Terms of Service Booking Terms Organiser Agreement and Artist Agreement. Through this Policy Gigevate explains the flow of funds timelines responsibilities of Users refund triggers dispute procedures and security practices that protect both Organisers and Artists.   1. ESCROW PAYMENT OVERVIEW 1.1 What is EscrowEscrow is a secure payment method in which an independent third party holds funds until agreed conditions are met by both sides. Trustap provides this escrow-style payment system for Gigevate. Trustap Help Centre 1.2 How Trustap Works with GigevateWhen an Organiser requests a booking and both parties sign a Digital Agreement, the Gigevate platform directs the Organiser to pay the full booking amount into Trustap escrow. Trustap holds that payment in a secure vault until the Artist fulfils their obligations and both parties confirm delivery. Trustap will only release funds once conditions are satisfied or when the dispute period has passed without complaint. Trustap+1 Trustap’s model supports confident payment interactions even between users who do not know one another. Funds are held safely to prevent scam risk. Trustap   2. PAYMENT FLOW ON GIGEVATE 2.1 Initiating a PaymentOrganisers must pay the full agreed amount into Trustap escrow before a booking is active. 2.2 Escrow HoldingTrustap securely holds funds until the performance is successfully completed and confirmed. 2.3 Release ConditionsFunds are released to the Artist when either Both parties confirm completion, or The standard complaint period expires without an active dispute. Trustap uses automated processes including fraud detection and optional human review to protect transactions. Trustap 2.4 No Direct Access by GigevateGigevate does not hold funds or control the release of funds. All financial movement is managed by Trustap.   3. FEES AND DEDUCTIONS 3.1 Escrow FeesTrustap charges an escrow fee which is displayed to Organisers before payment. This fee covers payment processing secure holding mediation and dispute resolution support. This is separate from any platform booking fees and payout fees. 3.2 Artist Payout FeesTrustap may apply a payout method fee (e.g. bank transfer, PayPal). These fees are not controlled by Gigevate and are disclosed upfront. 3.3 Fee TransparencyAll fees will always be shown to Users before checkout so there are no hidden charges.   4. DISPUTES AND RESOLUTION 4.1 Trustap Dispute HandlingIn the event of a complaint (e.g. late arrival incomplete service breach of contract), the platform lets Artists and Organisers submit evidence. Trustap mediates impartially and independently, reviewing Digital Agreements communication logs and attached evidence. Trustap 4.2 Finality of DecisionsTrustap’s ruling on refunds partial refunds or full payouts is final and binding in the context of escrow release. Gigevate cannot override Trustap’s decision.   5. REFUNDS AND CANCELLATIONS 5.1 Cancellation ScenariosRefund rules follow the Booking Terms and Trustap’s complaint process: Organiser cancellation before deadlines may lead to full refund minus booking fee Artist cancellation triggers refund minus platform fees Force majeure follows reduced fee refunds 5.2 Refund TimingRefund timing depends on Trustap processing time the complaint outcome payout method and financial provider clearing times. 5.3 Incorrect Payment DetailsTrustap and Gigevate are not liable for delays caused by incorrect payout information provided by Users.   6. SECURITY, FRAUD PROTECTION AND COMPLIANCE 6.1 Trustap Security ModelTrustap partners with Stripe and leverages identity and fraud tools to minimise risk of unauthorised transactions. Stripe 6.2 Protection Against ScamsBy holding funds in escrow until performance completion or expiry of complaint windows, Trustap significantly reduces the risk of transactional fraud. 6.3 AML and ComplianceTrustap uses anti-money laundering controls and identity verification as part of its compliance framework designed to protect users and platforms. Trustap   7. DISPUTE EVIDENCE GUIDELINES Users should provide clear documentation including Chat history timestamps Photos or videos from the event Contracted agreements (Digital Agreement details) Witness statements where applicable Trustap reviews all evidence impartially as part of the dispute resolution process.   8. GOVERNING LAW AND PAYMENT RIGHTS This Escrow & Payment Policy is governed by the laws that apply to Gigevate’s Terms of Service and Booking Terms. Trustap operations are subject to their contractual terms which Users agree to when initiating payments. EU Users may exercise statutory rights under local consumer protection law.   9.
